TERMS AND CONDITIONS

Welcome to WASPA Events ("Website"), accessible at https://waspa.events. The Website is owned and operated by the Water and Sanitation Providers Association (WASPA).

These Terms and Conditions govern your access to and use of the Website, including registration for conferences, exhibitions, workshops, training programs, and any other events organized or managed through the Website.

By accessing or using this Website, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.


1. Definitions

For the purposes of these Terms:

  • "WASPA" means the Water and Sanitation Providers Association.
  • "Website" means https://waspa.events.
  • "User" means any person accessing or using the Website.
  • "Delegate" means an individual registered to attend an event.
  • "Organization" means any company, institution, county government, utility, sponsor, exhibitor, or partner registering delegates.
  • "Event" means any conference, exhibition, workshop, seminar, training, or meeting published on the Website.

2. Acceptance of Terms

By creating an account, registering for an event, making payment, or using any services offered through the Website, you agree to comply with these Terms and Conditions.

If you do not agree with these Terms, you should discontinue use of the Website immediately.


3. Eligibility

You must provide accurate, complete, and current information during registration.

You are responsible for maintaining the confidentiality of your login credentials and all activities conducted under your account.


4. Registration

Registration is only complete after:

  • submission of the required information;
  • confirmation by WASPA;
  • payment where applicable; and
  • issuance of a registration confirmation.

WASPA reserves the right to:

  • approve or decline registrations;
  • request additional information;
  • refuse registrations containing false or misleading information;
  • cancel duplicate registrations.

5. Delegate Substitutions

Registered delegates may be substituted before an event subject to approval by WASPA.

Substitutions must be requested through the official organization administrator or Secretariat.


6. Registration Fees

Where applicable:

  • Registration fees are displayed during registration.
  • Payments must be made using approved payment methods.
  • All applicable taxes shall be payable where required by Kenyan law.
  • Registration fees are non-transferable except where approved by WASPA.

7. Cancellation and Refund Policy

Unless otherwise stated for a specific event:

  • Registration cancellations must be submitted in writing.
  • Administrative charges may apply.
  • Refunds, where approved, shall be processed within a reasonable period.
  • No refunds shall be made after published cancellation deadlines.
  • Failure to attend an event does not automatically qualify for a refund.

WASPA reserves the right to cancel or reschedule events where circumstances beyond its control arise.


8. Event Changes

WASPA may change:

  • venues;
  • speakers;
  • programmes;
  • schedules;
  • dates;
  • session timings;

without prior notice where reasonably necessary.

Such changes shall not constitute grounds for compensation.


9. Badges and Accreditation

Delegates must wear official event identification badges at all times.

Badges:

  • remain the property of WASPA;
  • are non-transferable;
  • may be withdrawn where misuse is detected.

Lost badges may attract replacement charges.


10. Delegate Conduct

Users agree to:

  • conduct themselves professionally;
  • respect other delegates;
  • comply with venue regulations;
  • obey lawful instructions issued by event officials.

WASPA reserves the right to remove any participant engaging in:

  • harassment;
  • abusive conduct;
  • discrimination;
  • violence;
  • fraud;
  • disruption of event activities.

11. Intellectual Property

Unless otherwise stated, all Website content including:

  • logos;
  • software;
  • databases;
  • publications;
  • graphics;
  • designs;
  • photographs;
  • videos;
  • documents;
  • conference materials;

remain the intellectual property of WASPA or their respective owners.

No content may be copied, reproduced, modified, distributed, or commercially exploited without written permission.


12. Photography and Recording

Events may be photographed or recorded.

By attending an event, you grant WASPA permission to use photographs, videos, and recordings containing your image or voice for:

  • publicity;
  • publications;
  • reports;
  • social media;
  • promotional materials;
  • future event marketing.

If you object, you should notify the Secretariat before the event.


13. Privacy and Personal Data

WASPA respects your privacy.

Personal information collected through the Website is processed solely for legitimate event management purposes including:

  • registrations;
  • communications;
  • certificates;
  • badges;
  • accommodation management;
  • attendance tracking;
  • reporting;
  • security;
  • payment processing.

Personal data shall be handled in accordance with applicable Kenyan data protection laws.


14. Account Security

Users are responsible for:

  • safeguarding passwords;
  • preventing unauthorized access;
  • ensuring information remains accurate.

You must immediately notify WASPA of any suspected unauthorized account access.


15. Payments

Payments processed through integrated payment providers remain subject to the terms of those providers.

WASPA shall not be liable for failures caused by third-party payment systems.


16. Website Availability

While reasonable efforts are made to keep the Website available, WASPA does not guarantee uninterrupted service.

Maintenance, upgrades, internet failures, or technical issues may temporarily affect availability.


17. Third-Party Links

The Website may contain links to external websites.

WASPA is not responsible for the content, security, or privacy practices of external websites.


18. Limitation of Liability

To the fullest extent permitted by law, WASPA shall not be liable for:

  • indirect loss;

Nothing in these Terms limits liability where such limitation is prohibited by Kenyan law.


19. Force Majeure

  • civil unrest;
  • power failures;
  • internet outages;
  • security threats.

20. Suspension or Termination

WASPA reserves the right to suspend or terminate user accounts where:

  • false information is provided;
  • fraudulent activities are detected;
  • these Terms are breached;
  • unlawful conduct occurs.

21. Governing Law

These Terms and Conditions shall be governed by and interpreted in accordance with the laws of the Republic of Kenya.

Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of Kenya.


22. Amendments

WASPA may revise these Terms from time to time.

Updated Terms become effective immediately upon publication on the Website.

Continued use of the Website constitutes acceptance of the revised Terms.
